Privacy Policy
This Privacy Policy explains how AlwaysPresent by law.tools, LLC (“law.tools,” “we,” “us,” or “our”) collects, uses, discloses, and retains personal information in connection with our AlwaysPresent court-monitoring service and our website (the “Service”). It also describes the privacy rights available to California residents under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”).
1. Who we are & scope
AlwaysPresent is a business-to-business service that monitors public court dockets and surfaces hearings, deadlines, and case activity for law firms and legal teams. This policy applies to:
- Website visitors — people who browse our public marketing website.
- Registered users — attorneys and firm staff who hold accounts to use the Service.
2. Information we collect
We collect the following categories of personal information. We do not sell or share any of these categories.
| Category | Examples | Sold / shared? |
|---|---|---|
| Identifiers | Email address, IP address, account/user identifiers, and a persistent visitor/device identifier used for website analytics. | No |
| Internet or other network activity | Pages viewed, referring URL, campaign (UTM) source, browser user-agent, request timestamps, and HTTP request metadata. | No |
| Geolocation data | Coarse, city-level location inferred from IP address. We do not collect GPS or precise geolocation. | No |
| Professional or employment-related information | Firm name, and the name, work email and role of the staff members on a firm's team. | No |
| Sensitive personal information | Account log-in credentials (a password, stored only in salted, hashed form). Used solely to authenticate you. | No |
| Other information you provide | The contents of support requests and any other communications you send to us. | No |
Email engagement information
When we send you an email about the Service, such as an account invitation, a case alert, or a product update, we record for each recipient whether and when the message was opened and which links in it were clicked. With each open or click we record the IP address, the approximate (city-level) location inferred from it, the device type, operating system, and mail client or browser, and the time. Automated activity, such as security scanners and mail-provider prefetching, and views by our own staff are identified and excluded from these measurements.
Sensitive personal information
The only sensitive personal information we collect is your account log-in credential (a password), which we store solely in salted and hashed form. We use it only to authenticate you and secure your account. We do not use it to infer characteristics about you, so the right to limit its use does not apply.
Information we do not collect
We do not collect Social Security numbers, dates of birth, driver’s license numbers, payment-card numbers, biometric data, or GPS-level geolocation.
3. Sources of information
- Directly from you — when you create an account, add team members, submit case numbers to our service, or contact support.
- Automatically — when you visit our website or use the Service, our servers and first-party analytics record request and usage data.
- From service providers — IP-geolocation providers that return coarse location and network information for an IP address.
4. How we use information
We use personal information for the following business purposes:
- Provide, operate, and maintain the Service and our website.
- Authenticate users and secure accounts.
- Monitor public court information and surface hearings, deadlines, and case activity for our customers.
- Respond to support requests and communicate with you about the Service.
- Understand whether the emails we send about the Service are opened and acted on, and improve them.
- Measure and improve website performance using first-party analytics.
- Detect, investigate, and prevent security incidents, fraud, and abuse, and comply with legal obligations.
We do not use personal information for cross-context behavioral advertising, and we do not build advertising profiles about you.
5. Disclosure & service providers
We do not sell your personal information. We disclose personal information only to service providers that process it on our behalf under contract, and only as needed to operate the Service. These service providers fall into the following categories:
- Hosting and infrastructure providers — that host our website and application and process website request data, IP addresses, and traffic analytics on our behalf.
- Analytics providers — that support our first-party website analytics.
- IP-geolocation providers — that return coarse location and network information for an IP address.
Each service provider is bound by contract to use personal information only to perform services for us and not for its own purposes.
We may also disclose personal information when required by law, to respond to lawful requests and legal process, to protect our rights, safety, and property, or in connection with a merger, acquisition, or sale of assets (subject to this policy).
6. Sale or sharing of personal information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under the CCPA. Because we do not sell or share personal information, we do not offer a “Do Not Sell or Share My Personal Information” link. We nonetheless honor opt-out preference signals, such as Global Privacy Control (GPC), that we receive from your browser.
7. Data retention
We retain personal information only for as long as necessary for the purposes described in this policy, and then delete or de-identify it:
- Account information — for the life of your account, plus a short wind-down period after closure as needed for legal and security purposes.
- Website and telemetry logs (IP address, user-agent, visitor identifier, referrer, and page activity) — for up to 24 months, after which they are deleted or de-identified.
- Email engagement records (opens and clicks, with IP address, approximate location, and device and mail-client details) — for up to 24 months, after which they are deleted or de-identified.
- Support communications — for up to 24 months after a request is resolved.
8. Your California privacy rights
If you are a California resident, you have the following rights with respect to your personal information:
- Right to know / access — request the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties to whom we disclose it.
- Right to delete — request deletion of personal information we collected from you, subject to legal exceptions.
- Right to correct — request correction of inaccurate personal information.
- Right to opt out of sale/sharing — we do not sell or share personal information, so there is nothing to opt out of, but we honor this right.
- Right to limit use of sensitive personal information — we only use sensitive personal information for permitted purposes, so no further limitation is required.
- Right to non-discrimination — we will not discriminate against you for exercising any of these rights.
How to exercise your rights
To make a request, email us at legal@law.tools. To protect your information, we will take steps to verify your identity before responding, and we may need to match information you provide against what we hold. You may use an authorized agent to submit a request on your behalf; we may require the agent to provide proof of authorization and may still verify your identity directly.
We will respond to verifiable requests within 45 days. If we need more time (up to a further 45 days), we will let you know. There is no fee for a verifiable request unless it is excessive or repetitive. If you are a firm-staff user, note that business-contact information is fully covered by these rights.
10. Data security
We use administrative, technical, and organizational safeguards designed to protect personal information, including industry-standard salted, hashed password storage, HTTP-only session cookies, encryption in transit (TLS), and database-level tenant isolation so that each customer can access only its own data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children's privacy
The Service is intended for use by law firms and legal professionals and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will delete it.
12. Changes & how to contact us
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
